SUMMARY:
Management Business Solutions is actively seeking an Executive Assistant for a company based in Grand Rapids, MI. This position is a four to five-month temporary opportunity. This person will be responsible for managing, organizing, and tracking all meetings, travel arrangements, donations, and transaction for the executive team. The ideal candidate is someone who can help facilitate the daily activities to ensure a productive, efficient, and engaged office environment.

RESPONSIBILITIES:
  • Answers multi-line phones system and respond to emails promptly.
  • Provides data entry and reporting via software programs Coding the credit cards purchases each month.
  • Schedules and arranges meetings for multiple groups.
  • Coordinate calendars and send out meeting invites to track acceptance of invites.
  • Ordering office supplies and office supply furniture as needed.
  • Book travel arrangements for team members.
  • Take minutes for weekly executive team meetings.
  • Gather information and compile into monthly newsletter.
  • Monitor availability/acceptance of meeting invites and adjust schedule as needed.
  • Supports event planning and run errands as needed.
  • Create agendas for management for team meetings.
  • Ensure all purchases, travel accommodations, etc. are within budget.
  • Ensures office equipment is well maintained and stocked for continuous use such as copiers, printers, and supply orders.

QUALIFICATIONS:
  • High School diploma or GED required.
  • At least 1 year of secretarial/office experience required.
  • Proficient in Microsoft Word, Outlook, and Excel and Mac Equivalents preferred.
  • Ability to handle confidential information in a database setting preferred.
  • Must be willing to travel to other company sites.
  • Must use professionalism, discretion and good judgment when handling confidential client information.
  • Strong typing, writing, spelling and proofreading skills.
